Job title: Constituency Assistant – Caseworker

  • Reports to: Patrick Weiler, M.P.
  • Type: Full-time employment, short-term
  • Location: West Vancouver, BC (Travel may be required and occasional long hours and some weekends.)
  • Salary and benefits: Salary will be commensurate with experience. We offer a competitive and comprehensive benefits package.
  • Job purpose: To support the MP in the riding of West Vancouver—Sunshine Coast—Sea to Sky Country by acting as a resource and service representative for constituents, and collaborate with team members in community engagement and communications support.
  • Duties and responsibilities:
    • Meet with individuals who have case files with any of the federal government ministries, offering support, status updates, advocacy and mediation.
    • Maintain an up-to-date knowledge of relevant guidelines/legislation as appropriate in dealing with casework matters.
    • Maintain a detailed tracking of case files.
    • Keep MP up to date on casework issues in the riding by providing a weekly summary and detailed reports for high profile/sensitive cases as necessary.
    • Oversee the running of MP’s constituency office including the acquisition of equipment and supplies and troubleshooting of day-to-day operations.
    • Completes a broad range of administrative tasks such as outlining community outreach objectives, overseeing completion of correspondence in a timely manner, creating a filing system in the constituency office, and triaging incoming requests for MP meetings, speaking engagements.
    • Manages the Member’s day-to-day planning in the constituency, prioritizing and delivery of operational requirements, oversees the office activities and organization of the workload in continuing support of the MP’s strategic and evolving agenda and objectives, working closely with other staff members to provide a cohesive team approach.
    • Ensures that all constituency based financial matters are provided to the Parliamentary Hill EA and processed in a timely manner.
    • Oversees the proper prioritization and scheduling of all the MP’s events in the constituency and intervenes when necessary. Maintains a master to-do list of overall activities in the constituency and ensures all tasks are moving forward in a timely manner.
    • Works with Parliamentary Hill counterpart to create a database strategy – making sure all key stakeholder lists are updated and that all contacts with properly recorded.
    • Represent the MP in a professional manner at events, meetings and forums where appropriate when the MP is away from the constituency.
    • Engage with stakeholders and individuals in the community to connect with government officials.
    • Organize community meetings and gatherings.
    • Ensure there is a strong connection between Parliament Hill and riding team members.
    • Respond to daily email and phone enquiries and escalate as necessary.
  • Qualifications:
    • University degree and/or other areas of study would be an important asset, especially a specialization in communications.
    • Experience with other levels of government or business would also be an asset
    • General knowledge of government, current affairs, politics and world events.
    • Proficient in computer skills including Microsoft Outlook, Adobe Creative Suite, Excel, Word.
    • Ability to research and problem-solve independently.
    • Ability to anticipate team and executive needs and work collaboratively.
    • Experience with high pressure environments.
    • Strong teamwork skills.
    • Excellent communication skills and ability to stay on-message

Job title: Constituency Assistant – Community Liaison – Sunshine Coast

  • Reports to: Patrick Weiler, M.P.
  • Type: Part-time employment
  • Location: Home-based (Travel will be required, irregular and occasional long hours and some weekend.)
  • Salary and benefits: Salary will be commensurate with experience. We offer a competitive and comprehensive benefits package.
  • Job purpose: To support the MP in all of their House of Commons duties, act as a resource and service representative for constituents, and collaborate with team members to provide comprehensive support for the community and government.
  • Duties and responsibilities: The Constituency Assistant serves as a point of contact for constituents in the communities on the Sunshine Coast (including Gibsons, Roberts Creek, Sechelt, Pender Harbour, and Gambier Island) to provide client service and a personal touch on behalf of the MP and government. The Constituency Assistant works mainly from a home-based office, but may make use of temporary and co-working offices in locations throughout the Sunshine Coast. From time to time, the Constituency Assistant may work in the Constituency Office, as required.
    • Public Relations
    • Maintains effective and positive communications between the communities in the Sea to Sky and the MP.
    • Promotes community programming and community meetings (e.g. Canada Summer Jobs, Community Meetings, Town Hall Events, etc.) throughout the Sea to Sky.
    • Acts as outreach to the community, communicating government messages and offering information about government programs and assistance available.
    • Monitors and tracks community events and media alerts, and keeps the MP up to date on news and issues in the specific communities.
    • Communicates with press and local authorities, as requested.
    • Community Outreach
    • Meets with individuals who have case files with any of the federal government ministries in a triage capacity. Provides notes of this initial meeting to the Case Specialist. May be asked to assist with letters of support, status updates, and mediation, as needed.
    • Acts as a middle person between House of Commons and residents, helping to voice and elevate concerns and issues raised by constituents, communicating them to appropriate ministries on behalf of the MP.
    • Meets with stakeholders and individuals who want to be connected to government officials.
    • Attends community meetings and gatherings with MP or on the MP’s behalf.
    • Triages incoming requests for MP meetings, speaking engagements, etc to the appropriate team member.
    • Communicates with team members to enable cohesive contact between the Hill and the riding.
    • Responds to email and phone enquiries.
    • Acts as gatekeeper to the MP, whose valuable time in the riding is precious.
    • Administration
    • Manages MP’s schedule and extensive calendaring for the Sea to Sky.
    • Works with the team to coordinate and prepare for meetings, events and MP visit i.e., drafting agendas and broader communication, ordering and setting up food and beverages for Sea meetings and events.
    • Maintains accounting reports, expenses and Road Travel Logging connected to the Sea to Sky.
  • Qualifications: The Constituency Assistant deals with a wide variety of issues and situations, thus needs to be flexible and highly adaptable. They must appear professional and capable, approachable and trustworthy and be committed to contributing to a respectful work environment. Qualifications and skills include:
    • Generalized business experience is required.
    • A valid driver’s licence is required.
    • A secondary degree (university and/or other areas of study), especially the field of human services, is an asset.
    • Other assets include: general knowledge of government, current affairs, politics, and world events and experience with other levels of government.
    • Proficient in computer skills including Microsoft Outlook, Excel, Word.
    • Ability to work independently as well as in a diverse team environment.
    • Ability to empathize and deal professionally with people in emotionally-charged states.
    • Experience with high pressure environments and coping under pressure while remaining adaptable, flexible, composed and professional.
    • Excellent communication skills both written and oral and ability to stay on-message and strong people-skills.
    • Ability to anticipate team and executive needs and work collaboratively.

Job title: Communications and Stakeholder Engagement Assistant

  • Location: Constituency Office 6367 Bruce Street, West Vancouver, BC
  • Salary and benefits: Salary will be commensurate with experience. We offer a competitive and comprehensive benefits package.
  • Job purpose: To support the MP in all of their House of Commons duties, act as a resource and service representative for constituents, and collaborate with team members to provide comprehensive support for the community and government.
  • Duties and responsibilities: Reporting to the Executive Assistant, the Communications and Stakeholder Engagement Assistant is primarily responsible for preparing speeches and communications materials, preparing summaries on issues that are of interest to the Member of Parliament and riding, and engaging on a regular basis with stakeholders throughout the riding.
    • Leads the conduct of research and drafts remarks and speeches to assist the Member in preparing for speaking/community events, while also providing guidance and reviewing proposed remarks or speeches prepared for the Member and tracking and logging speeches of the Member.
    • Meets with stakeholders and individuals on a regular basis who want to be connected to government officials, help shape government policy, or understand how federal policies and funding can assist their organization.
    • Attends community meetings and gatherings with MP or on the MP’s behalf.
    • Triages incoming requests for MP meetings, speaking engagements, etc. to the appropriate team member.
    • Communicates with team members regularly to enable cohesive contact between the Hill and the riding.
    • Assists with media inquiries by researching information and extrapolating factual and accurate data.
    • Represents the Member’s office at local stakeholder events or other meetings to ensure the Member is kept apprised of developments that may have an impact on his work.
    • Researches data, analyses findings and prepares comprehensive reports or summaries corresponding to the Member’s interests or that are relevant to local stakeholders.
    • Reviews news media and prepares background information to ensure that the Member and staff are continually kept abreast of emerging and evolving issues, and of areas of possible interest or concern.
    • May be asked to perform other duties such as handling media inquiries, drafting and reviewing correspondence for accuracy of facts and providing clarifications, as requested by the Member.
    • Performs other related duties within the scope of the position.
    • Administration
    • Manages, triages and reviews the Member’s emails and communications.
    • Maintains the Member’s agenda, reviews and discusses commitments, schedules meeting/events and informs him/her of any changes, and makes sure to respect the relevant rules and guidelines.
    • Helps with special projects that aim to improve the effectiveness of the office’s administrative operations.
    • Provides various administrative and/or business services to the Member and staff to ensure the continuing flow of operations and to help the constituency office achieve its goals and priorities.
  • Qualifications: The Communications and Stakeholder Engagement Assistant deals with a wide variety of issues and situations, thus needs to be flexible and highly adaptable. They must appear professional and capable, approachable and trustworthy and be committed to contributing to a respectful work environment. Qualifications and skills include:
    • Generalized business experience is required.
    • A valid driver’s licence is required.
    • A secondary degree (university and/or other areas of study), especially the field of human services, is an asset.

Today, constituency offices are balancing seven core functions as we respond to the COVID-19 pandemic: to provide service and assistance in dealing with government departments, to engage the public, maintain a presence in the community, provide informal counseling on personal and professional matters, act as mediators between interests, collate local opinion, and advocate to each level of government on matters concerning specific individuals and the community-at-large.
